  • Overview

      Serves as team member providing support to all administrative functions of Foster Care Services program; performs word processing, filing and general office duties; maintains client files in accordance with agency policies and procedures; schedules appointments for Director; gathers, reads and reviews monthly reports prior to submission into medical records; assists with monthly billing for Therapeutic Foster Care providers; distributes completed reports according to departmental procedures.

    Responsibilities

    • Supports the organization’s policies, goals and objectives, and works with management and other staff to achieve such goals and objectives.
    • Schedules meetings, and maintains office calendar of activities and appointments for department trainings.
    • Provides secretarial support for the Foster Care program through word processing, scanning, filing faxing, organizing and preparing materials for distribution.
    • Assists HCTC and Specialized Foster Care Program Coordinators, and HRSS Foster Care Case Managers with maintenance of client files in accordance with ICHD and contractual standards.
    • Supports activities of the Director through assisting with scheduling of in-service training, and billing.
    • Supports activities of the Director through distribution of information, verbally; in writing; or by mail, fax or email, as directed.
    • Assists Program Director and other administrators by tracking documentation in accordance with licensing Plans of Correction (POC).
    • Works in collaboration with Human Resources, Training and Quality Management (QM) staff to track licensing requirements of department personnel.
    • Attends specified meetings at the direction of Foster Care Director, as a representative of Intermountain Centers.
    • Participates in QM meetings and reports back to Director.
    • Maintains an approved schedule and acceptable level of attendance.

    Qualifications

    Education/Experience –

    • Bachelor’s degree and related experience preferred, or
    • Associates degree and two years of related experience required.
    • Prior experience with confidential records and statistical analysis desirable.

    Regulatory-

    • 21 years of age
    • Current, valid Arizona Driver’s License and 39 month Motor Vehicle Report to meet insurance requirements.
    • Eligible for DPS Level I fingerprint clearance.
    • Initial current negative TB test result, within the prior 12 months. (Employer provides)
